Getting Started with Lattice Crest - Email Signature Management

A step-by-step guide for Google Workspace Super Admins setting up Lattice Crest - Email Signature Management for the first time, and for employees managing their own signature.

1Install & authorise Lattice Crest - Email Signature Management

SUPER ADMIN

Find Lattice Crest - Email Signature Management on the Google Workspace Marketplace and click Install. As your Super Admin, this single step does two things automatically — no separate configuration needed:

  • Domain-Wide Delegation is granted automatically. Google authorises Lattice Crest - Email Signature Management's service account for your domain as part of the install, scoped to only the specific Gmail signature and directory-read permissions listed on our Privacy Policy — never email content, Drive, or Calendar.
  • Licensing is billed through Google. Your subscription and seats are managed and paid for via Google Workspace Marketplace billing, alongside your other Workspace charges.

Once installed, sign in at crest.pawait.io with your Google Workspace admin account to finish setup.

Nothing to install on individual devices. The Marketplace install authorises Lattice Crest - Email Signature Management for your whole domain — employees never see a Google consent screen or need to sign in to anything separately. You can revoke access at any time from Admin Console → Security → API Controls → Domain-wide Delegation.

2Sync your organisation's directory

SUPER ADMIN

Once DWD is authorised, go to User Management. It has three tabs — Users, Groups, and Organisation Units — each with its own Sync from Google button. Run each sync once to pull your directory into Lattice Crest - Email Signature Management:

  • Users — name, email, job title, phone number, profile photo, and active/suspended status.
  • Groups — group email and member count, so you can deploy to a whole distribution list at once.
  • Organisation Units — your org chart structure, so you can deploy by department or office.

Syncing doesn't modify anything in Google Workspace — it's a one-way, read-only import used only for targeting and profile display within Lattice Crest - Email Signature Management. Re-run it any time your directory changes (new hires, title changes, team moves) to keep targeting accurate; it upserts rather than duplicates, so existing licence assignments and roles are preserved.

3Create your first signature template

SUPER ADMIN

Open Templates to see the Template Gallery. The fastest way to start is a Starter Template — pick Modern, Elegant, or Simple, and Lattice Crest - Email Signature Management pre-fills your organisation's branding. Click Use Template to copy it into your own Custom Templates, ready to edit.

For full control, switch to Custom Templates → Create a template. The builder is split into three panels:

  • Global Styling (left) — set a theme colour, font family, and border radius that apply across the whole signature in one place.
  • Layout & blocks (centre) — arrange rows as Full Width or 50/50, then add blocks: Avatar, Full Name, Job Title, Phone, Email, Company Website, and more. Drag to reorder, click a block to select it.
  • Block properties (right) — with a block selected, fine-tune its padding, font weight, size, colour, letter spacing, and text transform.

A character counter at the top tracks total signature size against Gmail's limit, with a portion reserved for dynamic fields like name and title that vary per recipient. The Live Preview panel always shows exactly what recipients will see, rendered inside a real email — including on mobile via the Responsive View toggle.

4Deploy signatures to your team

SUPER ADMIN

From a template, click Deploy Signature. Pick your targeting tab — Users, Groups, or Organisation Units — and search by name or email to narrow a long list. If your plan uses per-user licensing, the picker only shows licensed users, with a note reminding you to manage licences separately if someone's missing. Leave the selection empty to deploy to every active user in the domain instead.

As you select recipients, an Estimated reach counter and a running list of who's selected update live in the side panel, alongside the template's Live Preview. Confirm both look right, then click Deploy to N recipients.

Lattice Crest - Email Signature Management writes the signature directly into each targeted user's Gmail settings — there's nothing for the employee to click or install. Every rollout appears in Deployments with its overall delivery rate; click into one to see the exact list of who succeeded and who failed, with enough detail to retry just the failures if something goes wrong.

5Manage licences & seats

If your plan uses per-user licensing, Licences shows a live count of licences used vs. available and the full list of licenced users with their department, with a Bulk Assign / Deassign action for handling several users at once (new hires, team moves, offboarding) instead of one at a time.

6Review employee update requests

SUPER ADMIN

Employees can request changes to their own signature details (title, phone number) from their profile. Requests appear in User Management → Update Requests, with counters for Pending, Approved, Rejected, and Cancelled so you can see the queue at a glance, and a filter to jump straight to what still needs action.

Click View Change to open a request. The modal lays the Current and Requested values side by side, with an optional Admin Comment field for noting why you approved or rejected it — useful context for the employee and for your own audit trail. Approving applies the change to the employee's profile immediately, which flows into their next signature deployment automatically.

7View your signature & request updates

EMPLOYEE

Every employee has a My Profile page — no admin access needed. It shows:

  • Your own Pending / Approved / Rejected request counts, so you can see where a change you asked for stands.
  • Your Profile Details — full name, job title, and phone number — with a Refresh button to pull the latest approved values.
  • A live preview of your Email Signature exactly as it's deployed in Gmail today.
  • Your full Update Request History, including any admin comment left on past decisions.

If your title or phone number changes, click Request Update, enter the new details, and submit. Your admin reviews it in Update Requests (see Step 6); once approved, your signature updates automatically on your next deployment — no reinstall or re-authorisation needed.
